This privacy policy explains how OPINI AI LTD (company registration number 16549411), operating as Opini.ai (“Opini.ai”, “we”, “us”, “our”), collects, uses, shares and protects personal data when you visit our website, create an account, or use our AI survey platform (together, the “Service”). 2. Personal data we collect

We collect the following categories of personal data:

  • Account data: name, work email, password (hashed), company and role, provided when you register or manage your account.
  • Billing data: billing address and payment details, processed on our behalf by our payment processor.
  • Survey content: questionnaires, project settings, sample lists and other content you create or upload to the platform.
  • Respondent data: answers, transcripts and any personal data that survey respondents submit through studies you run. You act as the data controller for this data; we act as a processor on your instructions.
  • Usage and device data: log files, IP address, browser type, pages viewed and interactions with the Service, collected automatically.
  • Communications: messages you send us via email, forms or support channels.

3. How we use personal data

We use personal data to:

  • Provide, maintain and secure the Service, including AI-assisted survey design, routing, probing and analysis;
  • Process payments and manage your account and subscription;
  • Respond to support requests and communicate service updates;
  • Monitor, detect and prevent fraud, abuse and security incidents;
  • Improve and develop the Service, including training and evaluating features (never using customer or respondent content to train third-party foundation models without consent);
  • Send product or marketing communications where you have opted in, and comply with legal obligations.

4. Legal bases for processing (EEA/UK users)

Where the GDPR or UK GDPR applies, we rely on the following legal bases: performance of a contract (to provide the Service), legitimate interests (to secure, support and improve the Service), consent (for optional cookies and marketing), and legal obligation (for tax, accounting and regulatory compliance).

6. How we share personal data

We do not sell personal data. We share it only with:

  • Sub-processors: cloud hosting, AI model, email delivery, analytics and payment providers that process data on our behalf under written agreements. A current list is available on request.
  • Panel and sample partners: where you choose to source respondents through a partner panel, limited data necessary to route and validate respondents.
  • Professional advisers and authorities: where required to comply with law, enforce our terms, or protect rights, safety and property.
  • Corporate transactions: in connection with a merger, acquisition or asset sale, subject to equivalent protections.

7. International data transfers

Where personal data is transferred outside your country or region (for example to [hosting regions/countries]), we rely on appropriate safeguards such as Standard Contractual Clauses, an adequacy decision, or equivalent mechanisms recognised under applicable law.

8. Data retention

We retain account and survey data for as long as your account is active, and for a limited period afterwards to meet legal, accounting or dispute-resolution needs. Respondent data is retained per the retention settings you configure for each project, or deleted on request. We delete or anonymise personal data once it is no longer needed for these purposes.

9. Security

We use administrative, technical and physical safeguards appropriate to the sensitivity of the data we process, including encryption in transit, access controls and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your rights

Depending on your location, you may have the right to access, correct, delete, restrict or port your personal data, to object to certain processing, and to withdraw consent at any time. To exercise any of these rights, contact us at hello@opini.ai. If you are in the EEA or UK, you also have the right to lodge a complaint with your local data protection authority. If you are a respondent to a survey run on Opini.ai, you should also contact the organisation that invited you to participate, as they control that data.

11. Children's privacy

The Service is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. Material changes will be notified via the Service or by email, and the “Last updated” date above will reflect the latest revision.
